This Privacy Policy describes how Moon Umlaut handles information submitted through the website and information supplied in connection with podcast creation, audio production, transcription, editorial support, publishing support, and related business communications.

Project files should contain only information reasonably necessary for the requested production work.

1. Scope

This Policy applies to information collected through website inquiry forms, project communications, service discussions, digital file exchanges, and ordinary administrative activity connected with Moon Umlaut services. It does not replace the privacy terms of third-party platforms selected by a client, such as a podcast host, payment processor, cloud-storage provider, or collaboration service.

The website and services are intended for legitimate business and creative use. Clients should provide only information reasonably necessary to request or receive the selected service.

2. Categories of Information

  • Identification and contact information, including a name, email address, telephone number, business or project name, and related contact details.
  • Project information, including the requested service, podcast title, production notes, recording duration, preferred schedule, file descriptions, revision instructions, and delivery preferences.
  • Content files, including audio recordings, written drafts, transcripts, speaker information, episode descriptions, show notes, and other materials supplied for production.
  • Commercial records, including quotations, invoices, payment status, approved scope changes, and records reasonably necessary for bookkeeping or dispute resolution.
  • Website and technical information that may be created by the hosting platform, browser, security tools, or necessary cookies, such as device type, browser information, approximate request timing, and basic site interaction data.

3. How Information Is Collected

Information is primarily collected when a visitor or client provides it directly, for example by completing a website form, sending project materials, requesting a quote, approving a production scope, or communicating about a current project.

Some limited technical information may be generated automatically by the website host or service providers in order to deliver pages, protect the site, maintain sessions, diagnose errors, or measure general performance.

4. Purposes of Use

  • Responding to inquiries and determining whether a requested service can be provided.
  • Preparing a scope, quote, production plan, or delivery schedule.
  • Editing recordings, producing episodes, preparing transcripts, writing show notes, and organizing publishing materials.
  • Communicating about source files, approvals, corrections, revisions, deadlines, and delivery.

5. Audio, Voice, and Editorial Materials

Podcast production may require the processing of recorded voices, speaker names, transcripts, and editorial information. These materials are treated as project content and are used for the requested production purpose. Moon Umlaut does not sell client recordings or transcripts as personal-data products and does not intentionally publish private project files unless the client has requested or authorized publication-related use.

Clients should avoid including unnecessary highly sensitive information in recordings or written materials. If a project requires unusually sensitive data handling, the client should raise that requirement before transferring the material so that the parties can determine whether the project is appropriate.

6. Service Providers and Third Parties

Moon Umlaut may use ordinary service providers for website hosting, email, file storage, file transfer, accounting, payment processing, document management, scheduling, and similar operational functions. Such providers may process limited information necessary to provide their services.

If a client directs Moon Umlaut to prepare materials for a specific third-party platform, the client's relationship with that platform remains subject to the platform's own terms and privacy practices.

7. Payment Information

Where payments are processed through a third-party payment provider, the provider may collect payment credentials directly. Clients should not send complete card numbers, security codes, online-banking passwords, or other payment credentials through ordinary website messages or email.

8. Retention

Project communications and materials may be retained for as long as reasonably necessary to complete the service, provide agreed revisions, document delivery, maintain business records, address disputes, or satisfy applicable accounting and legal obligations.

Moon Umlaut is not a permanent archival service. Clients are responsible for downloading and maintaining their own copies of final deliverables. Working files and source copies may be removed after the project is completed when they are no longer reasonably needed.

9. Security

Reasonable organizational and technical precautions may be used to protect business and project information. However, no website, email system, file-transfer service, cloud platform, or storage method can be guaranteed to be completely secure.

Clients are encouraged to use appropriate file-transfer methods and to communicate any special confidentiality requirements before sending material.

10. Client Responsibilities for Third-Party Information

Clients must have an appropriate basis to provide guest recordings, employee information, contributor names, voices, written materials, and other third-party content. When consent, notice, release, or other permission is required, obtaining it is the client's responsibility unless a separate written service expressly says otherwise.

11. Privacy Requests

Depending on applicable law and the circumstances, a person may request access to certain information, correction of inaccurate contact information, or deletion of information that is no longer reasonably required. Requests may be limited where information must be retained for contractual, accounting, security, fraud-prevention, dispute, or legal reasons.

Moon Umlaut may need sufficient information to verify that a request relates to the person or project concerned before acting on it.

12. Children

The website and services are not directed to children under 13. Moon Umlaut does not knowingly solicit personal information from children under 13 through the website.

13. International Access

Visitors may access the website from different jurisdictions. Information may be processed through service providers located in different regions depending on the tools used for hosting, communications, storage, or payment processing. Applicable provider terms and legal requirements may affect such processing.

14. Changes to This Policy

This Policy may be revised when services, website functions, operational practices, or applicable requirements change. The version posted on the website will show the applicable update date.
